The Foundation for Science and Technology, IP (“FCT”), as an administrative entity with strong commitments in the area of research in science, technology and innovation in all areas of knowledge, is committed to respecting the principles applicable to data protection and strengthening the legal protection of holders of personal data.
In compliance with the General Data Protection Regulation (GDPR), the FCT recognizes the importance of informing data subjects clearly and transparently about how their personal data is processed. Data Collection Methods, Data Subject Categories and Personal Data Categories
Within the scope of Jornadas, personal data is collected in two ways:
Directly from data subjects
In the registration process for participants in Jornadas personal data is collected from participants, such as name, contact details and other relevant information such as email address, telephone number, affiliation and dietary restrictions;
During access to the University of Coimbra facilities registration data from participants, such as their names and contact information, is collected to ensure security and access control to the venue;
Upon contact requests, as well as filling out the form for assistance or information requests using the platform https://indico.fccn.pt/event/26/registrations/ and still for the completing satisfaction surveys regarding the event;
In the services of catering, such as lunches and coffee breaks, according to the final program of Jornadas, personal data is collected from participants, such as food preferences or dietary restrictions;
While browsing the website, personal data is collected from participants, such as IP address, browsing history, cookies, among other navigation data;
For subscription to Newsletters relating to Jornadas;
In capturing the image and voice of participants during Jornadas, through the collection of images and audio and video recordings of participants for photographic records, interviews, press coverage, among others;
For the realization of streaming of Jornadas, through the recordings of the sessions to proceed with the streaming of the event, and that can capture participants.
Indirectly from data subjects
During the registration process of entities partners and sponsors of Jornadas, through the collection of personal data of representatives, as well as of other members registered by them;
The personal data collected and processed respect the following categories of data subjects:
Members of the partner/sponsoring entities of Jornadas (legal representatives, responsible for communication and marketing, managers, employees, service providers and other non-representative members who are registered by them), registered participants, speakers, volunteers and journalists.
Within the scope of Jornadas, the personal data collected and processed are classified into the following categories:
Common:
Civil Identification: name, surname, taxpayer number;
Contact Information: postal address, personal and institutional email addresses, social media pages;
Academic and Professional Data: affiliation, professional or academic activity, academic degree, job titles and other data related to professional and academic trajectory;
Navigation Data: IP address, unique identifiers, security logs, session and user cookies;
Physical Data: photography and video

Health Data: related to physical disabilities and dietary restrictions;
Racial or Ethnic Origin: nationality or other characteristics of the participants as long as they are relevant to the Jornadas;
Personal data, especially those related to the image of participants, will be used for subsequent dissemination in digital media, such as photos, audio or videos, on social media and institutional channels exclusively related to promotion and dissemination.
Purpose of Personal Data Processing
Personal data are collected for specific, explicit and legitimate purposes and may not be further processed in a manner incompatible with those purposes.
Personal data processed through the website of the Jornadas are intended for the purpose of managing institutional communication and events.
Grounds for the Lawfulness of Processing
The processing of personal data for Jornadas complies with the principles of lawfulness, fairness, transparency, and limited retention periods. In this context, the processing of personal data is lawful based on:
- In Article 6 of the GDPR, paragraph a), since the consent of the data subjects was obtained for subscribing to Nnewsletters, dissemination of the speaker's quality in Jornadas through the website and FCT social networks, collection of personal data relating to health, specifically regarding dietary restrictions and for the disclosure of your data to Jornadas sponsors, as well as for the use of non-essential cookies in website;
- in article 6 of the GDPR, paragraphs e) and c), as it is necessary for the exercise of functions in the public interest and for the fulfillment of legal obligations to which the FCT is specifically bound, namely “Promoting scientific and technological culture and the dissemination and dissemination of scientific and technical knowledge” under the terms of article 3, paragraph 2, paragraph g) of Decree-Law no. 55/2013, of April 17;
- in article 6 of the GDPR, paragraph f) with regard to the image and voice data of participants, as it is necessary for legitimate interests pursued by the FCT related to the subsequent dissemination of the event in digital media, such as photos, audio or videos, on social networks and institutional channels, contributing to increasing the reach and visibility of the event, allowing a wider audience to have access to the information and moments shared in Jornadas, promoting an environment of interaction and connection between participants and the scientific community in general.
Personal data collected in the context of the event are also processed for statistical purposes.
Rights of Personal Data Holders
Data subjects have the right to be informed about the processing of their data, having the right to demand the correction of any inaccuracies, the deletion of unduly recorded data and the integration of omissions, in accordance with the GDPR and other applicable legislation.
Specifically, they may exercise, within the limits and exceptions provided for by law, the following rights:
- right of access: the data subject has the right to obtain confirmation from the FCT (responsible for processing) regarding the processing of their personal data, as well as to access such data and request information about the processing thereof.
- right of rectification: the data subject has the right to obtain, rectify inaccurate personal data and complete incomplete personal data.
- right to erasure: the data subject has the right to obtain the erasure of his/her personal data, without prejudice to the established retention periods.
- right to restriction of processing: the data subject has the right to obtain the restriction of processing.
- right to portability: the data subject has the right to receive personal data concerning them collected through this website in a structured, commonly used, and machine-readable format. They also have the right to have their personal data transmitted directly to other data controllers.
- right of opposition: The data subject has the right to object at any time, on grounds relating to his or her particular situation, to the processing of personal data concerning him or her, including profiling. The FCT will cease processing personal data unless it demonstrates compelling legitimate grounds for such processing that override the interests, rights, and freedoms of the data subject, or for the establishment, exercise, or defense of legal claims.
- right to withdraw consent: the data subject has the right to withdraw consent at any time, provided that the data is processed based on consent and provided that there is no other legal basis that allows such processing.
- right to complain to the National Commission for the Protection of Personal Data (www.cnpd.pt), if you consider that any of the listed rights are being violated.
Subcontractors
The personal data collected may be transferred to subcontractors who process it on behalf of FCT. In such cases, FCT will implement the necessary contractual measures to ensure that the subcontractors respect and protect the personal data of data subjects.
Subcontractors responsible for processing personal data on behalf of FCT are required to provide sufficient written guarantees that they implement appropriate technical and organizational measures to comply with current legislation on privacy and personal data protection. These guarantees, designed to protect the rights of data subjects, will be formalized in a contract signed between FCT and each of these third parties.
Transfer of data to third countries
For the processing of personal data within the scope of Jornadas and for the purposes indicated, there are no international transfers of personal data.
Retention period
The retention period for personal data is that which is established by law or regulation or, in the absence thereof, that which is necessary for the pursuit of the purpose for which it was collected and processed.
In the case of processing for archiving purposes in the public interest, for scientific or historical research purposes, or for statistical purposes, the FCT may retain some of the data for longer periods, without prejudice to applying appropriate guarantees of the rights and freedoms of the data subject, in accordance with the legislation in force.

To ensure the protection of personal data, the FCT implements strict, internationally recognized rules that apply to all those who legally handle personal data.
Accordingly, technical and organizational security measures are implemented to protect the personal data provided to FCT, as well as the confidentiality, integrity, and authenticity of the data processed. Personal data stored by FCT is encrypted and anonymized whenever possible and subject to access control based on the principle of least privilege.
