The Foundation for Science and Technology, I.P. ("FCT"), as an administrative entity with high commitments in the area of research in science, technology and innovation in all areas of knowledge, is committed to respecting the principles applicable to data protection and strengthening the legal protection of personal data subjects.
In accordance with the General Data Protection Regulation (GDPR), FCT recognizes the importance of informing data subjects in a clear and transparent manner about how their personal data is processed. The duty to provide adequate and complete information is essential to ensure that data subjects understand how their personal data is collected, used and protected, and to ensure that they can fully exercise their rights.

Forms of Data Collection, Categories of Data Subjects and Categories of Personal Data
Personal data is collected in two ways as part of the Jornadas:
Directly from data subjects
In the process of registering participants for the Jornadas, personal data is collected from participants, such as name, contact details and other relevant information such as e-mail address, telephone number, affiliation and dietary restrictions;
During access to the University of Coimbra's facilities, participants' registration data is collected, such as their names and contact details, in order to guarantee security and control access to the venue;
Through contact requests, as well as filling in the form for assistance or requests for information using the platform https://indico.fccn.pt/event/26/registrations/ and also for filling in satisfaction surveys regarding the event;
In catering services, such as lunches and coffee breaks, according to the final program of the Jornadas, personal data of the participants is collected, such as food preferences or dietary restrictions;
While browsing the website, participants' personal data is collected, such as IP address, browsing history, cookies, among other browsing data;
To subscribe to newsletters about the Jornadas;
Capturing the image and voice of the participants during the Jornadas, by collecting images and audio and video recordings of the participants for photographic records, interviews, press coverage, etc;
To stream the Jornadas, by recording the sessions to stream the event, which can capture the participants.
Indirectly from data subjects
During the registration process of the partnerorganizations and sponsors of the Jornadas, through the collection of personal data of the representatives, as well as other members registered by them;
The personal data collected and processed concerns the following categories of data subjects:
Members of partner/sponsor organizations (legal representatives, communications and marketing managers, directors, employees, service providers and other non-representative members registered by them), registered participants, speakers, volunteers and journalists.
Within the scope of the Jornadas, the personal data collected and processed is classified into the following categories:
Common:
Civil identification: name, surname, tax number;
Contact information: postal address, personal and institutional e-mail addresses, social media pages;
Academic and Professional Data: affiliation, professional or academic activity, academic degree, job titles and other data related to professional and academic career;
Browsing data: IP address, unique identifiers, security logs, session and user cookies;
Physical data: photography and video
Special:
Health data: related to physical disabilities and dietary restrictions;
Racial or Ethnic Origin: nationality or other characteristics of the participants as long as they are relevant to the Jornadas
Personal data, especially relating to the image of participants, will be used for subsequent dissemination on digital media, such as photos, audios or videos, on social networks and institutional channels exclusively related to promotion and dissemination.
Purpose of processing personal data
Personal data is collected for specific, explicit and legitimate purposes and cannot be further processed in a way that is incompatible with those purposes.
The personal data processed through the Jornadas website is intended for the purpose of managing institutional communication and events.
Legal grounds for treatment
The processing of personal data for the Jornadas complies with the principles of lawfulness, fairness, transparency and the limitation of the storage period. In this context, the processing of personal data is lawful on the basis of:
- In article 6 of the GDPR, paragraph a), because the consent of the data subjects was obtained for subscribing to newsletters, publicizing the quality of speaker at the Jornadas through the FCT website and social networks, collecting personal data relating to health, specifically regarding dietary restrictions and for the disclosure of their data to sponsors of the Jornadas, as well as for the use of non-essential cookies on the website;
- Article 6 of the GDPR, paragraphs e) and c), as it is necessary for the exercise of functions in the public interest and the fulfillment of legal obligations to which the FCT is bound, in particular, those of "Promoting scientific and technological culture and the diffusion and dissemination of scientific and technical knowledge" under the terms of Article 3, paragraph 2, subparagraph g) of Decree-Law no. 55/2013, of April 17;
- Article 6 of the GDPR, point f) regarding the image and voice data of participants, as it is necessary for the legitimate interests pursued by FCT related to the subsequent dissemination of the event in digital media, such as photos, audios or videos, on social networks and institutional channels, contributing to increasing the reach and visibility of the event, allowing a wider audience to have access to the information and moments shared at the Jornadas, promoting an environment of interaction and connection between participants and the scientific community in general.
The personal data collected in the context of the event is also processed for statistical purposes.
Rights of Data Subjects
Data subjects have the right to be informed about the processing of their data, and have the right to demand the correction of any inaccuracies, the deletion of unduly recorded data and the integration of omissions, under the terms of the GDPR and other applicable legislation.
Specifically, they may exercise the following rights, within the limits and exceptions provided for by law:
- right of access: the data subject has the right to obtain confirmation from FCT (data controller) about the processing of their personal data, as well as to access this data and request information about the processing of this data.
- right to rectification: the data subject has the right to have inaccurate personal data rectified and incomplete data completed.
- right to erasure: the data subject has the right to obtain the erasure of their personal data, without prejudice to the retention periods established.
- right to restriction of processing: the data subject has the right to obtain restriction of processing.
- right of portability: the data subject has the right to receive personal data concerning him/her collected through this website in a structured, commonly used and machine-readable format. You also have the right to have your personal data transmitted directly to other data controllers.
- right to object: the data subject has the right to object at any time, on grounds relating to their particular situation, to the processing of personal data concerning them, including profiling. FCT shall cease processing personal data unless it has compelling legitimate grounds for doing so which override the interests, rights and freedoms of the data subject, or for the purposes of asserting, exercising or defending a right in legal proceedings.
- right to withdraw consent: the data subject has the right to withdraw consent at any time, provided that the data is processed on the basis of consent and there is no other legal basis for such processing.
the right to complain to the National Commission for the Protection of Personal Data(www.cnpd.pt) if you consider that any of the rights listed have been violated.
Subcontractors
The personal data collected may be transmitted to subcontractors who process it in the name and on behalf of FCT. In such cases, the FCT will implement the necessary contractual measures to ensure that subcontractors respect and protect the personal data of data subjects.
The subcontractors responsible for processing personal data on behalf of the FCT are obliged to provide sufficient written guarantees that they apply the appropriate technical and organizational measures to comply with current legislation on privacy and personal data protection. These guarantees, designed to protect the rights of data subjects, will be formalized in a contract signed between the FCT and each of these third parties.
Transfer of data to third countries
There are no international transfers of personal data for the processing of personal data within the scope of the Jornadas and for the purposes indicated.
Shelf life
The retention period for personal data is the one set by law or regulation or, in the absence thereof, the one that proves necessary for the pursuit of the purpose for which it was collected and processed.
When processing for archiving purposes in the public interest, for scientific or historical research purposes, or for statistical purposes, FCT may keep some of the data for longer periods, without prejudice to applying the appropriate guarantees for the rights and freedoms of the data subject, under the terms of the legislation in force.
General measures adopted to guarantee the security of personal data
To guarantee the protection of personal data, FCT implements strict, internationally recognized rules that apply to all those who legally handle personal data.
Accordingly, technical and organizational security measures are implemented to protect the personal data made available to the FCT, as well as the confidentiality, integrity and authenticity of the data processed. Personal data stored by the FCT is encrypted and anonymized whenever possible, and subject to access control based on the principle of least privilege.

Changes to the Privacy Policy
